United KFPW hand major service contract to DORMA

The increasingly responsible attitude being taken towards employee and customer comfort and safety by the majority of companies today, along with the need to comply with major reforms such as the DDA, is having a noticeably positive effect on DORMA UK Ltd, part of the DORMA Group. They are one of the world’s leading suppliers of automatic door technology and associated products, but it’s not just their front line sales operation that is in demand, the service and maintenance division is currently moving into the spotlight as well.

Start with a comprehensive survey of all customer sites

DORMA UK Limited’s Service Division has recently won a major service and maintenance agreement with the facilities management arm of United KFPW, the international business services firm previously part of PricewaterhouseCoopers. United KFPW handle the property outsourcing requirements for the National Australia Group, comprising the Clydesdale, Yorkshire, Irish and Northern Banks, which operate throughout the UK and Ireland. The role of the DORMA Service Division is to undertake a comprehensive survey of the entire existing manual and automatic door stock throughout the banking group and upgrade as necessary to meet necessary certification and DDA compliance. An unusual aspect of the arrangement is that the majority of doors throughout the National Australia Group properties are not manufactured by DORMA. Nevertheless, under the agreement, DORMA will undertake any upgrading that is necessary, along with all service and maintenance requirements, whatever the make of door.

Reactive and preventative cover

United KFPW have opted for the DORMA 3 Star Contract level of service for the first year of the agreement, which encompasses both ‘reactive’ and ‘preventative’ cover. With the reactive cover should there be a malfunction or breakdown, with any of the manual doors, DORMA will repair, or replace, the faulty door within a response time of one working day. However, if the fault raises serious security or safety issues, then an engineer will be on site during the same working day, or after hours. Preventative cover is an on-going scheduled maintenance programme to ensure compliance with British Standards – it is a legal requirement that all automatic doors are serviced annually to meet BS7036 specifications. The door operators themselves can be technically complex mechanisms and inadequate servicing can make them vulnerable to poor performance or even breakdown. Manual doors require an inspection every six months to ensure they comply with BS8214 and during the inspection special attention is paid to panic and emergency exit bars, hinges, pivots and door closers, with any necessary adjustments being made to closing speeds.

Quite a programme

Mark Preston of United KFPW comments: “The arrangement with DORMA is quite a complicated one. Initially a complete survey of all door stock at the various sites had to be undertaken and an ‘Improvement Plan’ put forward. As a result of that three things have to happen in parallel – some of the older doors need to be completely replaced; other doors can be upgraded to meet any certification and DDA requirements without replacement; and a planned service and maintenance programme needs to be developed for all door stock. As a lot of the doors are not actually DORMA, any parts required will have to be obtained from various manufacturers. It is quite a demanding logistical exercise and the main reason we went for the relatively straightforward 3 Star Cover plan. The cover offered under the 4 and 5 Star Cover plans gets increasingly sophisticated and with such a lot going on in the first year we wanted to keep things as flexible as possible, although we might review a bit further down the track”.

Two hundred engineers nationwide

The Service Division employs around two hundred engineers, working out of six operations across the UK and Ireland. Each operation offers a comprehensive servicing and maintenance package for all automatic, manual and industrial doors, as well as the supply and fitting of access control systems. Every DORMA engineer operates strictly within Health and Safety Guidelines and has to pass the ADSA (Automatic Door Suppliers Association) competency examination, which authorises them to carry out maintenance in compliance with British Standards, particularly BS7036 (1996). Regular door maintenance is important in helping to prevent accidents, reduce breakdowns and prolong the life of the components. Faulty doors are not just an inconvenience, in an emergency situation fire doors not functioning correctly could prove fatal and as far as security issues are concerned no organisation wants to be exposed to any unnecessary risk in this day and age.
